Summary of essential job functions:

The Receptionist role is vital to handling office operations, serving as fulcrum of our office operations, ensuring timely dissemination of information, and ongoing support administrative support. Sallyport is looking for a passionate, self-motivated experienced individual who brings an eagerness to learn, grow and contribute to the success of our international projects. (This is a temporary position.)

 

Roles and responsibilities:

  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
  • Greet, escort and badge visitors.
  • Receives, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Maintains office supplies. This includes the ordering, receiving, stocking and distribution of office supplies.
  • Maintain calendars and scheduling of conference rooms and manage executive travel itineraries
  • Uphold a strict level of confidentiality.
  • Develop and sustain a level of professionalism among staff and clientele.
  • Point of Contact for office facility requests by employees and property management.
  • May also assist with other related clerical duties such as photocopying, faxing, filing and collating.
  • Performs other duties as may be assigned.

Minimum qualifications and education requirements:

  • Minimum high school diploma/GED
  • 2-4 years of proven administrative, receptionist or assistant experience, or equivalent combination of education and experience.
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
